Synchro Alyson Bashford**

** Alyson Bashford is no longer a full committee member. She remains on the committee to look after the interests of the Synchro group within TDS.

The Club can only survive with the full support of its volunteers who give up their valuable time. The roles are not meant to be onerous but an indication of the positions needed to ensure the smooth running of the club.


Committee Responsibilities.

 

The Management Committee shall consist of The Chairman, Honorary Secretary, Honorary Treasurer, Competition Secretary, Registration Secretary, Child Protection/Welfare Officer and six ordinary members.

  1. * The Chairman, Honorary Secretary, Honorary Treasurer and Workforce Coordinator shall be the Executive Officers of the Club.
  2. The Chairman, Honorary Secretary, Honorary Treasurer, Competition Secretary, Registration Secretary and the Child Protection/Welfare Officer shall be the Officers of the Club.
  3. The President shall be an ex officio member of the Management Committee.
  4. The Management Committee shall be responsible for the day-to-day business of the Club To ensure the Rules and Constitution of the Club are followed and upheld.
  5. To hold regular meetings for the smooth and efficient running of the Club Currently meetings are held every 1st Monday of each month and between 7.30pm and 9.00pm. However, this can change from time to time owing to the exigencies of the Club.
  6. Hold an AGM before the 10th November each year.

The President.

The President is responsible to the Management Committee.

The role of the President is to represent and to promote the Taunton Deane Swimming Club. The President is required to:

  1. Attend committee meetings.
  2. Represent the Club at official functions as required.
  3. Be present at Club AGM and meetings as required.
  4. Liaise with the Executive Officers of the Club.
  5. Liaise with officials of the local authority and other agencies as appropriate.

Chairman

Responsible To: The Management Committee.

The Chairman must ensure the Management Committee runs the Club effectively and ensure the Rules and Constitution of the Club are followed and upheld.

Main Tasks :

  1. Attend committee meetings.
  2. Chair meetings.
  3. Liaise with officials of the partnership, i.e. Tone Leisure, SASP and other agencies as appropriate.
  4. Prepare and present reports as required.
  5. Represent the Club at official functions as required.
  6. Liaise with the Executive Officers of the Club and hold meetings as required.
  7. May be called upon to be part of grievance/disciplinary discussion as per the Clubs Grievance/Disciplinary Procedure.
  8. Be available to speak with parents.
  9. Listen to and deal with complaints.
  10. Write letters as required.

The Secretary.

Responsible To: The Management Committee.

The secretary has the task of day-to-day administration of Taunton Deane Swimming Club.

Main Tasks :

  1. Attend committee meetings
  2. Take minutes at Committee Meetings.
  3. Type up and distribute minutes prior to the next meeting.
  4. Maintain and keep accurate records of meetings.
  5. Ensure documentation is distributed in line with the Club Rules and Constitution for AGM’s.
  6. Liaise with the Executive Officers of the Club.
  7. Ensure rooms are booked/cancelled for Committee Meetings.
  8. Ensure the main notice board is kept up to date and is tidy.
  9. May be called upon to be part of grievance/disciplinary discussion as per the Clubs Grievance/Disciplinary Procedure.
  10. Write letters as required.
  11. Ensure annual membership fees are posted.
  12. Liaise with members of the public re information of the Club.

The Treasurer.

The Treasurer has the responsibility of maintaining the Club’s finances.

Main Tasks :

  1. To Maintain and monitor bank accounts.
  2. Keep clear and accurate records.
  3. Is responsible for payments to outside agencies and paying in Club income.
  4. Audit Standing Orders in line with registers and ensure swimmers are paying correct amount.
  5. Prepare and present an annual budget.
  6. Prepare, present reports and committee meetings.
  7. Prepare and present finances to the Accountants at the end of each financial year.
  8. Prepare and present a financial report for the AGM and be in a position to answer any questions in relation to the report.
  9. Make recommendations to the committee concerning the Club’s financial position.
  10. Make recommendations to the AGM concerning membership fees.
  11. Liaise with the Trophies sub committee concerning valuation, insurance and damage to trophies.
  12. Liaise with officials of the partnership, i.e. Tone Leisure, SASP and other agencies as appropriate.
  13. Liaise with the Executive Officers of the Club.
  14. May be called upon to be part of grievance/disciplinary discussion as per the Clubs Grievance/Disciplinary Procedure.
  15. Write letters as required.
  16. Liaise with the Club Administrator regarding new club members.

Competition Secretary.

Responsibility: To ensure swimmers have the opportunity to enter a variety of competitions for themselves throughout the year and the Club participates in appropriate team events.

Main Tasks :

  1. Liaise with the Head Coach re Competition Calendar.
  2. Post fixtures on the main club notice board, with entry forms if appropriate.
  3. Act as the contact point for clubs regarding open meets, galas etc.
  4. Receive entry forms and monies.
  5. Check monies and liaise with the treasurer.
  6. Submit entries to meet organisers.
  7. Distribute cards as necessary.
  8. Administration tasks as required maintaining the role.
  9. Attend committee meetings and report as required.

Registration Secretary.

Responsibility: To ensure competitive swimmers and officials are registered with ASA.

Main Tasks :

  1. Ensure swimmers who need to be registered are invited to register.
  2. Liaise with Secretary concerning members.
  3. Liaise with Treasurer.
  4. Maintain a list of registered ASA swimmers.
  5. Maintain a list of registered officials.
  6. Attend committee meetings and report as required.

Child Protection / Welfare / Officer.

Responsibility: To be responsible for the implementation of good practice and child protection policies within the club

Main Tasks :

  1. Liaison between the Club and ASA and other appropriate agencies.
  2. Responsible for the investigation of complaints and maintain records of such matters.
  3. Maintain CRB records.
  4. Ensure Child Protection Policies are adhered to.
  5. Attend appropriate courses.
  6. Attend meetings as required.

Management Committee - Member.

Responsibility: To support the officers in maintaining the day-to-day business of the Club.

Main Tasks :

  1. Attend committee meetings.
  2. Support and take responsibility for ad hoc activities as and when required.
  3. Take responsibility for any sub committees as required by the management committee and if called upon present a report at committee meetings.
  4. Attend functions as required.

Other Roles & Responsibilities.

There are many tasks that need to be fulfilled in order for the Club to function successfully.

A member of the committee or committee position has traditionally taken on responsibility for some of these functions. However, non-committee members with a nominated committee member having an overview and being a contact point could be asked to carry out various tasks on behalf of the Club, reporting to the Management Committee as and when required.
